Full Job Description
We are looking for an Administrative Coordinator to join the QuietWaters Ministries team and act as a point of contact for our employees, volunteers and clients. Administrative Coordinator responsibilities include bookkeeping tasks, supporting regular office operations, screening phone calls and scheduling internal meetings. To be successful in this role, you should have excellent organization skills along with the ability to prioritize tasks and meet deadlines. Ultimately, you will provide administrative support to our management staff and ensure all daily procedures run smoothly.

Responsibilities
- Manage and route phone calls appropriately
- Communicate with clients, staff, and volunteers
- Bookkeeping – QuickBooks entries, invoices, payments, and financial reports; bank reconciliation
- Process donations; maintain database entries, reports, and track receipts
- Process client files: Inquiries, scheduling, process paperwork, payments
- Maintain CEO and managers daily calendars, including scheduling meetings, confirming appointments, writing itineraries and agendas, and arranging set-up
- Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies
- Organize ministry meetings: scheduling, sending reminders, and organizing catering, when necessary
Prerequisites
- Committed personal relationship with Jesus Christ and a lifestyle consistent with this commitment
- Agreement with QuietWaters Ministries’ Statement of Faith
- Personal integrity and a passion for excellence
- Highly organized and demonstrated attention to detail
Skills
- 2 years proven work experience as an Administrative Coordinator, Administrator or similar role
- Demonstrated understanding and experience with bookkeeping
- Hands-on experience with MS Office Suite (particularly MS Word and MS Excel), and Google calendars
- Familiarity with office equipment, like computers, printers and phones
- Solid time-management abilities with the ability to prioritize tasks
- Excellent verbal and written communication skills
This position is in a small office with little to no daily face-to-face interaction.
Job Type: Full-time
Pay: $39,500.00 – $43,500.00 per year
